The quality of an AI chatbot depends far more on the knowledge you give it than on any clever setting. A chatbot trained on clear, current content gives clear, current answers. This guide shows how to prepare that content in an afternoon.
1. List the questions customers really ask
Before adding anything, write down the twenty questions your team answers most often. Look in your inbox, your WhatsApp chats, your call notes and your reviews. These questions become your test set: when the chatbot is ready, you will ask it each one and check the answer.
2. Choose your sources
- Website pages: home, services or products, pricing, about, contact and policy pages.
- Documents: brochures, price lists, onboarding packs and policy PDFs.
- Plain text: details that exist nowhere else, like parking instructions or holiday hours.
- FAQs: exact question-and-answer pairs for topics where wording matters.
Start small. Ten good pages beat two hundred pages of old blog posts and duplicate content, which can produce outdated or conflicting answers.
3. Fix gaps and contradictions
If your pricing page says one thing and an old PDF says another, the chatbot cannot know which is right. Remove outdated files and make sure each fact lives in one place. Where your website is vague, add a short text source with the precise answer.
4. Set behavior and limits
Tell the assistant who it is speaking for, what tone to use and what it should avoid. For example: “You are the assistant for a family dental clinic. Be warm and brief. Do not diagnose. If someone describes pain or swelling, suggest booking an urgent appointment and share our phone number.”
5. Test with your question list
Ask every question from step one. When an answer is wrong or thin, fix the source content rather than hoping the bot will improve on its own. Then ask the same question in different words to check it still holds.
6. Review real conversations weekly
Once live, the conversation history becomes your best content research. Questions the assistant struggles with point to missing information, and that information usually belongs on your website too, where it helps search rankings as well as the chatbot.
In Prime Chat, every step above happens in the dashboard: add website pages, upload documents, paste text, add FAQs, configure behavior, and read conversations to improve answers over time.
