Online appointment booking for clinics: a practical setup checklist

Everything an independent clinic needs to decide before opening online booking: services, durations, provider hours, buffers and your website widget.

, 6 min read, by the PrimeWebKit team

Patients increasingly expect to book a doctor the way they book a table: online, at any hour, in under a minute. For clinics, online booking also means fewer phone calls and fewer double bookings. The setup decisions below are what make it work smoothly from day one.

Define your bookable services

List each service patients can book themselves, with a clear name and duration: “New patient consultation, 30 minutes”, “Follow-up, 15 minutes”. Keep complex or urgent visits phone-only at first if you prefer.

Set real provider availability

  • Working hours for each provider, per day of the week.
  • Breaks and lunch, so they never appear as open slots.
  • Time off and holidays, added as early as you know them.
  • Clinic-wide closures for public holidays.

Choose where patients book

Most clinics use a mix: a booking page to share on social media and Google Business Profile, plus a booking form, floating button or popup on the clinic website. Patients should never need an app or an account.

Turn on confirmations and reminders

Every booking should trigger a confirmation, and every appointment a reminder, with a link to confirm, cancel or reschedule.

Connect your calendars

Providers who also use Google Calendar, Outlook or Apple Calendar should sync them, so personal commitments and clinic appointments do not clash.

Launch, then watch the reports

After a few weeks, check bookings by channel, cancellations and no-shows. Adjust availability where demand is highest.

PrimeCare OS includes every item on this checklist: services and durations, provider schedules, booking page and website widget, automated reminders, calendar sync and reports.
