Practice management software vs EHR: what’s the difference and which do you need?

Clinic software is often sold under overlapping names, which makes it hard to know what you are buying. The two main categories are practice management software and electronic health records (EHR). They solve different problems.

Practice management software runs the business side

It handles appointments, provider schedules, reminders, patient contact details, invoices, payments and reports. It is used by reception, practice managers and owners as much as by clinicians.

An EHR runs the clinical record

A full EHR covers detailed clinical documentation, orders, prescriptions, lab results, coded diagnoses and, in many countries, regulatory reporting and insurance claims. It is primarily a clinician’s tool.

What most independent practices need first

Many small clinics, therapists, physiotherapists and dentists lose more time to scheduling, phone calls and missed appointments than to clinical documentation. For them, a practice management system with patient profiles, history, visit notes and files often covers the daily need, with a specialist EHR added only if required.

  • Choose practice management first if your pain is bookings, no-shows, invoices and front-desk workload.
  • Choose a full EHR if you need e-prescribing, lab integrations, coded clinical records or insurance billing.
  • Some practices use both: a practice management tool for operations and an EHR for clinical detail.

PrimeCare OS is a practice management platform. It keeps patient profiles, medical history, visit notes and files, but it is not a full EHR and does not provide insurance billing.
